Alumni Volunteer Request Form

Please provide as much information possible at the time you are requesting for alumni volunteers. If you are requesting alumni volunteers for a full day conference or an event with multiple workshops, please provide details for each workshop or activity by completing separate request forms.

Kindly give our office advance notice of your needs as it takes time to research, invite our alumni, and to be courteous of their busy schedules. Please note that we cannot guarantee all requests will be filled due to a temporary change in staff capacity. Ideally, we would like 8-12 weeks' notice if possible or include the AE Office right from the beginning of your planning stage.

Please upload any files you would like to share that would help us recruit alumni volunteers (e.g. mentorship package, partnership package, list of contacts, event photos, etc.)

Collecting Alumni Info as part of your Event/Activity Registration Process:

Our Alumni Engagement team works closely with a variety of student groups and internal partners in particularly around recruiting alumni volunteers for roles like speakers, networking delegates, mentors, and much more. It is important to our office and the university to ensure we document all alumni who engaged or interacted with our students whether at networking events, a class course, in a mentorship program and so forth. By building up a history of our alumni’s engagement with our student community, we are able to facilitate many requests for alumni volunteers for specific roles.

With that being said, please ensure you collect the following information as part of your event registration, activity attendance, mentorship application, etc. as I will be requesting this information after your event/activity takes place:

  • First and last name
  • Degree and grad year
  • E-mail
  • Type of activity/role (i.e. event attendee, guest speaker, networking delegate, etc.)

Thank you for your help and collaboration on this extremely important task to help document and track our alumni’s engagement and interactions with all UBC students.

Requirements & Expectations:

Once the Alumni Engagement office has introduced you to the alumni volunteers by e-mail, your club or group will be responsible for all future communications and liaising with the volunteers to prepare them for their role and arrival.

  • Please provide Briefing Notes at least 1 week before the event date to the alumni volunteer. The briefing notes contain all event details, logistics, schedule, dress code, parking, contact information, etc. to the volunteer. Our office can provide you with a briefing notes template to use.
    For networking delegates, an event reminder email with event details, schedule, and event day contact and role description would be sufficient. No need to send them briefing notes.
     
  • Please assign a Host from your team to be the “main contact” for the alumni volunteer on event day. In the briefing notes, please indicate who is the alumni volunteer’s main point of contact (host) who will meet and greet the volunteer, provide food/beverage if applicable, assist with setting up their presentation, ensure sound check is done if a mic is used, and escort the volunteer out of the venue or say thank you and good bye after the volunteer is done their role.
